The topic of our ezine this week is preoccupation and judgment.  For the next couple of weeks I will probably seem a bit preoccupied myself.  Why?  Because it is spring and I am a dig in the dirt person.  My youngest daughter just spent the entire weekend with me and did we get full of dirt together in my garden!  I had my back yard dug up last summer, so it is time to plant.  I've worked on a design all winter and we began to implement it together this weekend.

They say when you plant perennials that you have matured as a gardener.  Well, I must be really mature...I will be doing lots of container gardening to help be responsible for water usage. All my new plantings take into consideration water consumption and drought resistant characteristics of the plants.  It is feeling very responsible in addition to very exciting. 

So, I am peeking outside and counting my seeds and polishing my shovel...could make for a pretty preoccupied lady.   That is the topic of our feature article this week - Preoccupation and Judgment - Conditions to be Aware of When Trying to Produce Successful Communication.

Feature Article: Preoccupation and Judgment - Conditions
                            to be Aware of When Trying to Produce
                            Successful Communication. 

Is this what you look like when you encounter a situation where the communication just does not work? 

 We all have lots of reasons why communication is not successful.  Many times it has to do with what we "think" of the other person: 

  • Their opinions are just plain dumb

  • Their information and data does not make sense

  • They have an accent

  • They are too old, too young, too tall, too...something

  • They obviously did not go to the same college as you and can't possibly be knowledgeable

Our "thoughts" i.e. our judgments and preoccupations are the top two reasons why we don't clearly, easily and adeptly communicate to create successful results.   

An example: 

You have a meeting scheduled at 9:00am with the new sales rep that everyone is talking about.  She shows up at 9:10am breathless for your meeting.  Your first impression of this new sales rep is:  disorganized and disrespectful because she is late.  You are irritated because the story in the office is that the recruiting retainer to hire this gal was the most the company had ever paid.   

Guess what, you are completely preoccupied and are expressing judgments that may not even be true. 

What if: 

She encountered a traffic accident on the way to the where people were badly hurt and she stopped to help to administer CPR.  During the rush of the situation, she lost her cell phone so she could not call to say she would be late.  It was a miracle she made it at all.  In fact, she was preoccupied while assisting at the accident scene with the thought of calling you so that you would be apprised of the situation and know that the meeting with was important to her. 

So which example is the truth?  If you are preoccupied and in judgment, you might miss creating a relationship with this new sales rep that is key to building profits and turning the high level client process into a successful venture. 

The Problem:   

These situations happen thousands of times a day in our busy world and they can contribute to wrong information.  We form opinions of people and situations without getting the gist of what is actually taking place.   

You come to each situation as a whole human with lots of history.  This history shapes who we are, how we operate and what is "right".  It could be you were born in NYC to immigrant parents who struggled to build a good life.  Then you hire a 30 year old intern for a key project who was born to affluent, well traveled and educated parents with a solid financial portfolio.  In this scenario we are dealing with differences in:

  • Socioeconomic status

  • Age   

  • Demographics  

  • Access to educational opportunities

My point is that we all have opinions, judgments and are preoccupied.  Some serve us and some do not. 

Understanding that your preoccupations and judgment are natural is to have your first step in being aware that you have options on what you think and how you judge. 

Anyone who frustrates you is a perfect messenger for what might an excellent opportunity to learn something new instead of dismiss what you "think" you see in them. 

In getting back to the new sales rep, what if you were able to start your meeting with her by saying:   "Great to meet you.  You seem rushed, is there anything I can do to help you get ready for our meeting?" 

You would create immediate rapport, help her settle in, get the story of what had happened and probably form a respect for her contribution to the people in the accident. 

A very different beginning to a new relationship with a new key member of your organization. 

Success vs. judgment/preoccupation: 

If you are frustrated, you are preoccupied.  If you are angry, you are judging and probably defending yourself.  If you are annoyed, you are not listening.  If you are thinking negative thoughts about someone, you are not in rapport.   

How do you move out of preoccupation and judgment?  How do you get back to being in rapport?  Take a deep breath and listen as if what they are saying or doing is really important to you.   

Just this very simple action will drastically change the quality of your communication and relationships.  You will change on a not so subtle level how you relate with people and situations.  I guarantee it will also decrease the stress of your interactions with others.   

Deep breath.
